Key points
- Voicemail costs least but leaves the caller waiting until you call back.
- Answering services bill per minute or per call for a live human on each call.
- AI receptionists respond in seconds, book directly and work nights and weekends.
- Pick humans for sensitive calls and AI for speed, volume and after-hours coverage.
What is the difference between an AI receptionist, an answering service and voicemail?
Voicemail records a message and waits for you. An answering service puts a live person on the call. An AI receptionist uses a natural-sounding AI voice to answer questions and book the appointment right away, or to call a missed caller back within seconds.
All three solve the same problem: the phone rings while you are on a job, with a customer or asleep. They differ in who talks to the caller, how fast, what gets done on that first contact, and how the bill is calculated. For a primer, see what an AI receptionist is.
How do the three options compare side by side?
Voicemail is cheapest, an answering service is the most human, and an AI receptionist is the fastest to act. Provider examples are from public pages as of October 2026.
| Voicemail | Live answering service | AI receptionist | |
|---|---|---|---|
| What it is | A recorded greeting and a message box | A team of human receptionists answering for you | AI trained on your business that answers or calls back, answers questions and books |
| Who answers | No one; the caller leaves a message | A trained person, following your instructions | An AI voice that should say it is your virtual assistant |
| Hours | Always on, but nothing happens until you listen | Often 24/7; Ruby limits outbound call assists to weekday hours | 24/7, including nights, weekends and holidays |
| Missed-call callback | You call back when you can | Some return calls on request; Ruby lists this | Can call back within seconds, automatically, as Arifwork's Ava does |
| Texting and chat | None | Often sold as separate chat plans or per-call add-ons | Varies; some also answer texts, web chat and social messages |
| Booking | No | Yes, included or as a per-call add-on | Yes, directly into your calendar |
| Setup | Record a greeting | An onboarding call to set scripts and transfers | From about 15 minutes self-serve (Smith.ai) to about a week done for you (Arifwork) |
| Pricing model | No per-call fee | Per minute (Ruby) or per call (Smith.ai) | Per call, per minute or a monthly plan |
What does each option cost?
Voicemail adds no per-call fee. In the published examples below, live answering costs the most per call and AI costs less, though pricing models vary. All prices are as of October 2026.
- Ruby (live, per minute): $250 a month for 50 receptionist minutes, up to $1,725 for 500. Minutes bill in 60-second increments, rounded up.
- Smith.ai Virtual Receptionists (live, per call): $300 a month for 30 calls and $11.50 per extra call; booking adds $1.50 a call.
- Smith.ai AI Receptionist (AI, per call): $0 for 25 calls a month, or $150 for 75 calls on Pro.
- HighLevel Voice AI (AI, DIY software): a $0.045-a-minute voice engine charge plus voice and model costs, or $97 a month per location for unlimited inbound Voice AI, on top of a platform plan from $97 a month.
- Arifwork (AI employees, done for you): flexible monthly pricing, quoted on a call around your volume and the roles you need.
Example (illustrative): 100 calls a month at about 2 billed minutes each is 200 minutes, which is Ruby's $720 plan. On Smith.ai's human Basic plan, 100 calls costs $810 for 90 plus 10 extra at $10.50, or $915, before booking fees. On Smith.ai's AI Pro plan it is $150 for 75 plus 25 at $2.50, or $212.50. Voicemail is $0 in fees, but every message is a callback you owe. Plug your own volume into the missed-call revenue calculator.
What happens to the caller with each option?
The caller's first two minutes look very different. Take a homeowner calling at 7:42 PM on a Tuesday because there is no hot water.
- Voicemail: they hear your greeting and may leave a message. You find out when you check your phone, and they may keep dialing other companies in the meantime.
- Answering service: a person answers, takes details and, if you allow it, books a slot or transfers an urgent call to your on-call tech.
- AI receptionist: the AI answers or calls back within seconds, asks what is wrong, books the first open slot and texts a confirmation. Emergency handling varies by product. Arifwork's Ava doesn't handle emergencies differently yet, so she books an urgent call like any other and your emergency line stays on your voicemail and website.

Why does response speed matter so much?
Leads cool off fast. In a Harvard Business Review study of 1.25 million online sales leads, firms that tried to reach a lead within an hour were nearly seven times as likely to qualify it as firms that tried even an hour later, and more than 60 times as likely as firms that waited 24 hours or longer.
That study covered web leads, not phone calls, but the lesson carries over. Voicemail puts the response time in your hands, which on a busy day can mean hours. An answering service responds in the moment but often ends with a message for you. An AI receptionist can respond in seconds and finish the booking. See more data in our speed-to-lead statistics.
When is a live answering service the better choice?
A live service is the better choice when the call needs human judgment or regulated handling. Choose people if:
- Calls involve health information. Look for a HIPAA-ready service; Ruby, for example, offers HIPAA-compliant answering under a signed BAA. Arifwork is not HIPAA-compliant.
- Callers are often upset, grieving or in crisis.
- You need a person to take card payments or run long, branching intake scripts.
- Your clients expect a human voice as part of the service.
- You want live Spanish-speaking coverage. Ruby and Smith.ai both list English and Spanish options.
When is voicemail enough, and when is AI the better fit?
Voicemail is enough when calls are rare, callers are existing clients who expect a callback, and a few hours' delay costs nothing. It falls short when new customers are shopping around.
An AI receptionist fits when most calls are routine: pricing questions, availability, booking and rescheduling. It fits best when missed calls cluster after hours and on weekends, when volume swings with the season, and when leads also arrive by text and chat. Our after-hours answering and AI appointment booking pages show how that works day to day, and what missed calls cost helps you size the problem.
Is it legal to use AI to call customers back?
Yes, with consent and the right setup. In February 2024 the FCC ruled that AI-generated voices count as "artificial" under the Telephone Consumer Protection Act, so those calls are held to the same consent rules as other artificial or prerecorded voice calls.
Arifwork's AI only contacts people who reached out first or opted in, introduces itself as your business's virtual assistant, says so when a call is recorded, includes STOP opt-out on every text and respects quiet hours. Read is it legal to use AI to call and text customers, and check with your attorney for your situation.

Frequently asked questions
Is an AI receptionist cheaper than an answering service?
Per call, usually. In October 2026 published pricing, Smith.ai's AI Pro plan works out to $2.00 a call, while its human plans run about $7 to $10 a call before add-ons.
Can an AI receptionist transfer a caller to a real person?
Most can. Arifwork hands the conversation to your team with a full transcript when a human touch will win the job or the situation needs it, such as a complaint. Ava doesn't handle emergencies differently yet, so keep your emergency line on your voicemail and website.
Do answering services charge for short calls?
It depends on the billing model. Per-call services charge each call; per-minute services often round up. Ruby, for example, bills receptionist minutes in 60-second increments, rounded up.
Will callers know they are talking to AI?
They should. Arifwork's AI introduces itself as your business's virtual assistant and never pretends to be a person.
What is a better option than voicemail for a small business?
Anything that responds before the caller moves on. A missed-call callback or text back replies in seconds; see how missed-call text back works.
