Key points
- A missed call triggers a callback from Ava within seconds, then a text.
- Callers who can't talk can reply by text and still get booked.
- Every text names your business, offers a STOP opt-out and respects quiet hours.
- Business texting needs A2P 10DLC registration, and Arifwork files it for you.
How does missed call text back work?
Missed call text back watches your business line, and when a call goes unanswered, it texts the caller within seconds. The text tells them you saw the call and gives them a way to keep going without dialing again.
Basic tools stop there: one canned text, then a person has to read the reply and follow up. Arifwork runs the whole sequence:
- Missed call. Someone calls while you're busy, on a job or closed.
- Instant callback. Ava, our AI receptionist, calls back within seconds, introduces herself as your virtual assistant and works out what they need.
- Booking on the call. She offers open slots from your calendar and books one.
- Confirmation text. The customer gets the time and details in writing.
- Text fallback. If the caller can't pick up, a text follows so they can reply when they're free. With Max, our AI Text & Chat Sales Rep, on your team, those replies get an instant answer and can be booked right in the thread.
- Logged and handed off. You get the transcript. Anything that needs you, like a complaint, is flagged with full context. Ava doesn't handle emergencies differently yet, so keep your emergency line on your voicemail and website.
Why does a callback plus a text beat a text alone?
Because the customer chose the phone. They called because they wanted to talk to someone, and a text-only reply asks them to switch channels and type out the problem with their thumbs.
- A call can ask follow-up questions. "Is it leaking right now, or just stained?" takes five seconds on a call and three texts by SMS.
- A call books in one step. Text-only flows often end with "someone will call you back," which brings back the delay you were trying to remove.
- A call reaches landlines. If the caller dialed from a landline that can't receive texts, a text-only reply never reaches them. A callback does.
- The text still matters. It's the written confirmation, and it's the fallback for anyone in a meeting, on a job site or driving.
Speed matters too. In the Lead Response Management study, the odds of reaching a lead were 100 times higher when the first call came within 5 minutes instead of 30, and the odds of qualifying them were 21 times higher. That study measured web leads, not phone calls, but the lesson carries over: reach people while they're still looking. More data is in speed to lead statistics.
How does it compare with voicemail, answering services and hiring?
The usual options differ on two things: what the caller gets in the first minute, and how much follow-up is left for you.
| Option | What the caller gets | Books the job? | Your follow-up work |
|---|---|---|---|
| Voicemail | A beep, then a wait | No | Return every call yourself |
| Text-only auto-reply | One canned text | Only if someone reads the reply and follows up | Answer every reply by hand |
| Answering service | A live operator, billed per minute or per call | If you set it up | Review messages and return calls |
| Hiring another person | A human, during their shift | Yes | Payroll, training and coverage gaps |
| Arifwork: Ava callback plus text | A callback in seconds, then a confirmation text | Yes, on the call or in the thread | Read the summary and handle what's flagged |

How do you set up missed call text back?
Setup takes six steps, and Arifwork does them with you. Most businesses are live in about a week.
- Keep your number. We connect Ava to your existing business line, so nothing changes for callers.
- Register your texting number. US carriers require business texting from standard 10-digit numbers to be registered through A2P 10DLC. We file it for you, and approval can add a week or two. Here's what A2P 10DLC is.
- Write the first text. Name the business, say it's your virtual assistant, ask what they need and include "Reply STOP to opt out."
- Connect your calendar. Google Calendar, Outlook or Calendly, or Jobber and Housecall Pro through Zapier.
- Set booking and handoff rules. Job types, lengths, service area, and which conversations, like complaints, go straight to a person.
- Test it. Call your own number, let it ring out, and watch the callback and text arrive.

Is missed call text back compliant with texting rules?
It can be, as long as you only text people who contacted you, identify your business and honor opt-outs. The rules that matter most:
- Opt-outs. Under FCC rules, a reply of "stop," "quit," "end," "revoke," "opt out," "cancel" or "unsubscribe" revokes consent, and opt-outs must be honored within 10 business days. One confirmation text is allowed, with no marketing in it. Every Arifwork text includes a STOP opt-out.
- Consent by message type. CTIA's messaging guidelines scale consent to the message. Replying to a customer who texted you first needs no extra permission, reminders need express consent, and promotional texts need express written consent. Missed call text back stays on the service side of that line: it follows up on the call, it doesn't advertise.
- AI voice callbacks. The FCC ruled in 2024 that AI-generated voices count as "artificial" under the TCPA, which generally requires the called party's prior express consent. Ava only calls back people who just called you, says she's a virtual assistant, and logs every callback. We also recommend a line in your phone greeting, such as "if we miss you, our virtual assistant will call or text you back at this number", because the FCC has said a number captured by caller ID alone isn't consent for artificial-voice calls.
- Carrier registration. The Campaign Registry, which US carriers use for A2P 10DLC, says any business texting customers from a 10-digit number must register, even for one-to-one messages.
- Quiet hours. Reminders and follow-ups are scheduled for normal hours, not sent at midnight.

What is a missed call worth to your business?
Usually more than the text-back tool costs, but run your own numbers. Here is the math for a busy repair shop.
Illustrative example: an auto repair shop misses 12 calls a week while the service advisor is at the counter. If 40% are new repair requests, that's about 5 jobs on the table (12 × 0.4 = 4.8). Booking half of them is 2.4 jobs. At a $450 average repair order, that's $1,080 a week, or about $4,680 a month ($1,080 × 52 ÷ 12).
The same logic holds for a plumber or an HVAC company, with bigger tickets and more urgent callers. Plug your numbers into the missed-call revenue calculator, or see how much missed calls cost.
Frequently asked questions
What should the first missed-call text say?
Keep it short: your business name, that it's your virtual assistant, a question about what they need, and 'Reply STOP to opt out.' Leave promotions out of this message.
Can I keep my current business phone number?
Yes. Arifwork connects Ava to your existing business number and business texting, so customers keep using the number they already have.
What happens if the caller texts back at midnight?
With Max on your team, they get an answer right away and can book in the thread. Reminders and follow-ups wait for normal hours.
Do I need A2P 10DLC registration for missed call text back?
Yes, if you text from a standard 10-digit business number. Arifwork files the registration for you, and approval can add a week or two to setup.
Does it work on weekends and holidays?
Yes. Ava calls back missed callers nights, weekends and holidays, which is often when nobody else is around to return the call.
