What is an AI receptionist?
An AI receptionist is a voice AI that talks to your callers, answers their questions and books them in, the way a good front-desk person would. Unlike a phone tree, it holds a real conversation. Unlike voicemail, it puts the job on your calendar instead of leaving you a message to return.
At Arifwork, the AI receptionist is Ava, one of three AI employees we build for US small businesses. Ava is a missed-call receptionist. Your phone rings as usual and your team picks up what it can. Any call that goes unanswered, because you're on a roof, under a sink, with a client or closed for the night, gets a callback from Ava within seconds.
That design is deliberate. You keep the personal touch on the calls you can take, and Ava covers the gaps, which is exactly when a caller who can't reach you tries the next business on the list. For a deeper primer, read what an AI receptionist is and isn't.
How does Ava handle a missed call, step by step?
Ava turns a missed call into a booked appointment in one short phone conversation. Here is what happens on every call:
- The call goes unanswered. It doesn't matter if it's 10 AM or 10 PM, a Tuesday or the Fourth of July.
- Ava calls back within seconds. She opens with your business name, says she's your virtual assistant and, if recording is on, tells the caller the call is recorded.
- She finds out what they need. New or returning customer, what's wrong, where, and when they need it. She asks the questions you would ask.
- She answers from your playbook. Services, service area, hours and the pricing guidance you approve. If she doesn't know something, she says so and flags it for you.
- She books the slot. She offers real openings from Google Calendar, Outlook or Calendly and locks one in, following your booking rules.
- She logs the call and texts a confirmation. The customer gets the time and details in writing. You get a summary and the transcript.
- She hands off when a person should take over. Complaints and big-ticket quotes go to your team with the full transcript, so nobody asks the customer to repeat themselves.
The full lead journey, including reminders and post-job follow-up, is on how it works.
What can an AI receptionist handle, and what should go to a person?
Ava handles routine calls from first hello to booked appointment, and routes the rest to a human with context. You decide where that line sits.
| Ava handles | Ava hands to your team |
|---|---|
| New service requests and estimate bookings | Complaints and billing disputes |
| Questions about services, hours and service area | Custom quotes that need a site visit or your judgment |
| Booking, rescheduling, confirmation texts and detailed messages when a caller only wants you | Anything you mark owner-only |
One limit to know: Ava doesn't handle emergencies differently yet. She books every caller into your calendar, so keep your existing emergency line or on-call number on your voicemail and website for true emergencies.
There are also things Ava never does. She never claims to be a person. She never gives legal, medical or financial advice. And she doesn't invent prices or promises your business hasn't approved.
How does Ava compare to voicemail, an answering service or hiring?
Each option fixes part of the problem. Ava is built to call back and book the job at any hour, on flexible pricing quoted on a call, without adding a person to payroll. Here is the side-by-side, using published prices as of October 2026.
| Option | Who talks to the caller | Hours | Books the job? | What it costs |
|---|---|---|---|---|
| Voicemail | Nobody, until you call back | 24/7, recording only | No | Usually included with your phone service |
| Live answering service (Ruby) | A live receptionist | 24/7 | Scheduling available | $250/month for 50 minutes, up to $1,725/month for 500 minutes |
| Per-call answering service (Smith.ai) | A live receptionist, or AI first | 24/7 | Yes | Human-first from $300/month for 30 calls; AI-first Pro from $150/month for 75 calls |
| In-house receptionist | Your employee | Their shift, about 40 of 168 weekly hours | Yes | BLS median $18.27/hour, or $38,010/year, before payroll taxes and benefits |
| Ava (Arifwork) | An AI voice that says it's your virtual assistant | 24/7 on missed calls | Yes, into your calendar, plus a confirmation text | Flexible monthly pricing, quoted on a call |
Two differences matter most. Answering services bill by the minute or by the call. Arifwork quotes a monthly price built around your volume, rather than metering every minute. And Ava is one of three AI employees: add Max for instant text and chat follow-up or Remi for review requests and win-back, and one system covers the whole customer journey.

What does an AI receptionist cost, and when does it pay for itself?
Arifwork's pricing is flexible and quoted on a short call once we know the roles you need and your call and lead volume. Whether it pays off depends on what your missed calls are worth, and that math is simple.
Illustrative example: say you miss 15 calls a week. If one in three is a new job request, that's 5 potential jobs. If you normally win half of the people you actually talk to, that's 2.5 jobs. At an average ticket of $350, that's $875 a week, or about $3,790 a month ($875 × 52 ÷ 12).
Now compare staffing the phone with a person. A full-time receptionist at the BLS median of $18.27 an hour costs about $38,000 a year in wages alone ($18.27 × 2,080 hours), and covers roughly 40 of the 168 hours in a week. Run your own numbers in the missed-call revenue calculator, or read the full breakdowns in what an AI receptionist costs and how much missed calls cost.
Is it legal for an AI to call customers back?
It can be, when it's set up with consent and disclosure built in. In February 2024 the FCC ruled that AI-generated voices count as "artificial" voices under the Telephone Consumer Protection Act, so AI calls follow the same consent rules as other artificial-voice calls. California's bot disclosure law also makes it unlawful to use a bot online to mislead people about its artificial identity in order to drive a sale.
Here is how Ava is set up:
- She only calls people who just called you, or who opted in to hear from you.
- She introduces herself as your business's virtual assistant and never pretends to be human.
- If the call is recorded, she says so at the start.
- Every text includes a STOP opt-out, and quiet hours are respected.
- Consent is logged, so you have a record if anyone asks.
- Your texting number is registered with US carriers through A2P 10DLC. We handle the paperwork, and approval can add a week or two.
This isn't legal advice. Read is it legal to use AI to call and text customers for the detail, and if you're in a regulated industry, run it past your attorney.
How do you set up an AI receptionist?
Most businesses are live in about a week. Setup takes three steps:
- Map your call flow. We look at how calls reach you today and where they slip through: the lunch rush, job sites, evenings and weekends.
- Train Ava on your business. Your services, service area, tone, pricing guidance and booking rules. Then we wire her into your existing phone number, business texting and calendar.
- Go live and tune. We review calls and sharpen her answers every week.
Ava works with Google Calendar, Outlook, Calendly, Slack and Stripe, plus Jobber, Housecall Pro and HubSpot through Zapier. If your software connects to Zapier, we can usually connect it. Want to hear her first? Book a demo, or call us and hang up. Ava will call you right back.
By industry: how does Ava adapt to your trade?
The job is the same everywhere: answer fast, book the right appointment, hand off what needs a human. The details change by trade.
- AI receptionist for HVAC: books no-cool and no-heat repair calls during heat waves and cold snaps, and fills maintenance slots in the shoulder seasons.
- AI receptionist for plumbers: books drain, fixture and water heater calls and captures access notes so the plumber arrives prepared.
- AI receptionist for roofers: captures the address, damage and insurance-claim status on storm calls when volume spikes after hail.
- AI receptionist for auto repair shops: books drop-offs and diagnostics while your service advisor is busy at the counter.
- AI receptionist for salons: rebooks clients while stylists are mid-color and can't touch the phone.
- AI receptionist for fitness studios: books intro classes and answers schedule and membership questions.
- AI receptionist for real estate agents: calls back listing inquiries and sets showings while you're at another one.
- AI receptionist for marketing agencies: qualifies inbound prospects and books discovery calls.
- AI receptionist for law firms: handles intake questions and books consultations. Scheduling only, never legal advice.
