How to set up missed-call text back

Missed-call text back sends an automatic text to anyone whose call you don't answer, so they hear from you in seconds instead of hitting voicemail. Set it up in six steps: text-enable your number, register for A2P 10DLC, write the message, set hours and limits, route replies, and test. Arifwork can run it done-for-you, with AI replies.

Key points

  • An instant text reaches callers who won't leave a voicemail.
  • Register your number for A2P 10DLC first, or texts get blocked.
  • Write separate business-hours and after-hours messages, under 160 characters.
  • Someone, or something, must answer the replies fast.
  • Identify your business, include STOP, and keep marketing out of auto-replies.

What is missed-call text back, and why use it?

Missed-call text back is an automation that texts a caller within seconds when nobody answers. It turns a dead-end ring into an open conversation.

Voicemail alone loses people. In a September 2025 CallRail survey of 1,000 U.S. consumers, only 42% said they leave a voicemail when a business doesn't answer, 24% said they switch to online chat, and 21% said they immediately call another business. A text reaches every caller on a mobile phone, including the ones who hung up.

It works best for businesses whose owners and techs are on jobs all day: trades, auto shops, salons and studios. For the business case in dollars, see how much missed calls cost.

What do you need before you start?

  • A text-enabled business number. Ideally the number customers already call. Many business phone providers can text-enable it.
  • A2P 10DLC registration. US carriers block software-sent texts from unregistered 10-digit numbers. See what A2P 10DLC is.
  • A website with a privacy policy and terms. Registration reviewers check for them.
  • Your business hours and a clear definition of what counts as an emergency.
  • A booking link or calendar you can send, if you take online bookings.
  • A named person who gets notified and replies, or an AI that can.

How do you set it up yourself, step by step?

  1. Choose a provider that supports missed-call auto-texts. For example, Quo (formerly OpenPhone) can automatically text customers back after a missed call or voicemail, during and after business hours. Grasshopper's Instant Response texts first-time callers whose calls you miss.
  2. Register for A2P 10DLC. Quo tells customers registration can take 5 to 7 business days and as long as 30. Start this first, because nothing sends until it's approved.
  3. Write two messages: one for business hours, one for after hours. Templates are below.
  4. Set your hours so the right message goes out at the right time.
  5. Set a frequency cap. Quo, for instance, won't send automated texts to the same number more than once every three hours, so repeat dialers don't get spammed.
  6. Route replies. Turn on push notifications for whoever answers texts, and set an expectation, such as replying within 15 minutes during business hours.
  7. Test from a cell phone. Call, let it ring out, and check the text, the timing and how replies reach you.
  8. Review weekly. Read the threads. Where did people go quiet?

What should the missed-call text say?

Say who you are, acknowledge the call, ask one easy question, and include an opt-out. Keep it under 160 characters, the length of one SMS segment. These examples use fictional businesses.

Business hours (trades)Hi, it's Ridgeline Plumbing. Sorry we missed your call, we're on a job. What can we help with? Reply here and we'll get back to you. Reply STOP to opt out.
After hours (emergency trade)Ridgeline Plumbing: we're closed but saw your call. Emergency, like an active leak? Reply YES and our on-call tech will call you. Reply STOP to opt out.
Quote request (HVAC)Hi from Copper Creek HVAC! Sorry we missed you. Reply with your address and what's going on, and we'll send open times. Reply STOP to opt out.
Appointments (salon)Lumen Hair Studio: sorry we missed your call! Want to book? Reply with the service and a day that works, or book here: [link]. Reply STOP to opt out.

Avoid "Sorry, we're busy, call back later." It hands the job to the next business on the list. Only promise an on-call callback if you actually run an on-call rotation; see handling after-hours calls.

DIY or done-for-you: which is right for you?

DIY auto-texts are cheap and fast to switch on, but they only send the first message. Done-for-you setups also hold the conversation and book the job.

What compliance rules apply to missed-call texts?

A one-to-one reply to someone who just called you is about the lowest-risk business text there is, but it still has rules. This is general information, not legal advice.

  • Register for A2P 10DLC before sending anything.
  • Identify your business in the first text.
  • Include an opt-out and honor it. FCC rules treat replies like "stop," "quit," "end," "revoke," "opt out," "cancel" and "unsubscribe" as revocation, and require you to honor opt-outs within 10 business days. One confirmation text is allowed.
  • Keep marketing out of the auto-reply. Promotions need stronger consent.
  • Give notice on your line. The FCC has said a number captured by caller ID without notice isn't permission for autodialed or prerecorded-voice calls. A greeting line like "If we miss you, we'll text you back at this number" is cheap insurance.
  • Respect quiet hours for follow-ups. An instant reply to a caller is one thing; later nudges should go out between 8 a.m. and 8 p.m. their time.
  • Know your state. The Supreme Court's 2021 Duguid decision narrowed the federal autodialer definition, but Florida's law covers any "automated system for the selection and dialing" of numbers.

What mistakes should you avoid?

  • Texting before registration is approved. Pending numbers are treated as unregistered and blocked.
  • A message with no business name. It looks like spam and gets ignored.
  • Nobody watching the replies. The text promised a reply; silence is worse than voicemail.
  • One message for all hours. "We'll call you shortly" at 11 p.m. sets the wrong expectation.
  • Adding callers to a promo list. A reply to a call is not consent to marketing.
  • Never testing. Forwarding rules and carrier changes break things quietly.

How do you know it's working?

Track three numbers each month: the share of missed callers who reply to the text, the share of those who book, and the time to the first real reply.

Multiply the extra bookings by your average job value and compare that to what the setup costs. The missed-call revenue calculator does the math. If replies are high but bookings are low, the gap is usually response speed or a missing booking step. That's the point where an AI that books in the conversation pays off. Frequently asked questions

How fast should the missed-call text go out?

Within a minute of the missed call. Research on web leads shows contact odds drop sharply within minutes; see our speed-to-lead statistics.

Can I use my existing business number?

Usually, yes. Many providers can text-enable or port your current number, and Arifwork connects to your existing business number so customers don't learn a new one.

Should the auto-text go out after hours too?

Yes, with its own wording. After hours is when the fewest people are answering phones, so a clear after-hours text, with an emergency path if you offer one, matters most.

What's the difference between a text back and an AI callback?

A text back sends a message and waits. An AI callback, like Arifwork's Ava, phones the caller back within seconds, talks through the job and books it, then texts a confirmation.

Do I need consent to text someone who just called me?

A one-to-one reply about their call is low risk, but carriers still require 10DLC registration and an opt-out, and notice on your phone line strengthens your position. Ask a lawyer about your specific setup.
